Performs Administrative related duties for the site and carries out responsibilities including providing administrative support services for the site administration team, site meeting coordination/execution, new employee on-boarding, front desk reception, and office supplies management.

 

Your Role and Responsibilities:

  • Greet visitors and assist with sign in activities.
  • Ensure office, break room and common areas are in good order, clean, and supplies are stocked.
    • Coordinate with service vendors, ensure good performance
    • Organize supplies to maintain re-order levels, order supplies when required
    • Check the mail, distribute as needed
  • Assist all managers with administrative tasks including filing, receipt scanning, and report postings
    • Maintain document retention program
  • Support HR Business Partner and assist with local HR administrative tasks
    • Temporary employee timecard management / coordination with temp agencies
    • Collect employee information (e.g., new hire paperwork, sign-up sheets, etc.)
    • Maintain the site-specific databases (e.g., Training files, job descriptions, etc.).
    • Coordinate employee On-Boarding process:
      • Coordinate New Employee Orientation with HR Business Partner.
      • Maintain Employee Posting Cabinets and Employment Posting Regulations.
  • Appropriately handles confidential and time sensitive material.

 

What is required for this role:

  • High School Diploma or GED required; reading and math skills required.  
  • A minimum of three years experience in an administrative role required. 
  • Must be proficient in MS Office software and have a proven track record of successfully meeting deadlines. 
  • Self-starter with proactive project management approach and attention to detail required. 
  • Able to effectively multitask within a lean organization and willing to take on new tasks or challenges. 
  • Must be organized, flexible and adaptable to changing requests and requirements, with strong interpersonal skills and ability to handle sensitive and confidential information. 
  • Experience with SAP a plus.
