Position Summary
The Executive Assistant primarily supports and provides assistance to three executive leaders across two of Heraeus Medevio’s locations in Fridley and White Bear Lake, Minnesota. The Executive Assistant will work closely with the EVP, Commercial; Global Head of Finance; VP of Operations; their teams; and other internal and external parties to ensure smooth operations and effective collaboration within the functions. The ideal candidate is a self-starter, thrives in a fast-paced environment, possesses exceptional organizational and interpersonal skills, and can efficiently manage multiple priorities. The Executive Assistant will serve as a trusted business partner to the leaders and their teams.
This is an in-office position based in Fridley and White Bear Lake, MN offices; splitting time between both sites based on leader needs, with flexibility as needed.
Your Role and Responsibilities:
- Provide administrative support, including detailed calendar management, expense report management, complex domestic & international travel, and event coordination.
- Coordinate meetings, including attendee management, materials preparation, room set-up, catering, and issue resolution.
- Provide occasional guidance and support to other MN-based administrative assistants for out of office coverage, large event planning, or other related needs.
- Maintain and manage information of a confidential nature and uphold strict confidentiality standards.
- Other duties as assigned.
What is Required for This Role:
High school diploma or equivalent (e.g. GED)
Minimum 5 years of experience as an Executive Assistant
Advanced Microsoft (MS) Office skills
Proven experience in providing administrative support to multiple executives within a global organization
Demonstrated ability to quickly adapt and shift focus between multiple high-priority tasks
Demonstrated ability to manage multiple tasks and large amounts of information
Ability to maintain orderly systems to ensure accurate, timely and quality responses to inquiries
Effectively prioritize tasks, manage multiple schedules using Microsoft Outlook and other scheduling tools
Strong attention to detail
Ability to develop creative solutions, make last minute decisions, and evaluate strategies for completing tasks
Strong interpersonal, collaborative, and communication skills to respond appropriately in various situations

Medevio is committed to providing competitive total compensation and benefits packages. The expected base salary hiring range for this position is between 38.00/hour and $46.00/hour, based upon a full-time schedule. This is a good faith estimate on the applicable range. Base salaries are determined by taking a variety of factors in account, including, but not limited to, candidate qualifications, geographic locations, market conditions and internal equity. This position is bonus eligible, with a target bonus of 10% of base salary depending upon company and individual performance. Our total compensation package also includes eligibility for comprehensive medical, dental, and vision coverage, a 401(k) plan with company match, education reimbursement, paid parental leave and paid time off.
