Administrative Assistant

Provides administrative support for the site by performing administrative duties and other projects as assigned with a heavy focus in supporting the Human Resource (HR) function and managing front desk and all site visitors.

Summary

Provides administrative support for the site by performing administrative duties and other projects as assigned with a heavy focus in supporting the Human Resource (HR) function and managing front desk and all site visitors.

Essential Duties and Responsibilities include the following (other duties may be assigned):

  1. Provides administrative support for all office personnel
  2. Provides HR support under the direction of the HR Business Partner which includes but is not limited to the following:
  3. Recruiting Support: preparing requisitions, sourcing candidates, scheduling interviews, preparing interview packet for hiring manager, and maintaining associated documentation
  4. New Hire Onboarding: coordinates first day instructions for new hires, coordinates onboarding agenda and assists managers with maintenance of onboarding content. Maintains onboarding training records
  5. New Hire IT computer/phone set up: work with our IT department and new hires to get their computer, cell phone, and access set up
  6. Employee Engagement: participates in and assists the Activities Committee with coordination of company events, employee recognition activities, etc.
  7. Administrative Support: maintains employee personnel files in a compliant manner, responsible for completion of I-9’s, ensuring compliance, and assists with the processing of invoices for payment
  8. Answers and directs phone calls and coordinates guest visits
  9. Prepares reports, presentations, and other documents using Microsoft Office
  10. Opens, sorts, and distributes incoming correspondence, including faxes and email
  11. Orders and maintains general office and breakroom supplies, ensuring necessary stock is always adequate, available and within budget
  12. Maintains Outlook calendars as assigned
  13. Assists Site Leader in the coordination of meetings, functions and other projects onsite and off
  14. Creates and maintains content for communication monitors, ensuring timely and accurate communication to the site
  15. Enters purchase orders for approved / signed requisitions
  16. Handles confidential and time sensitive material
  17. Handles and/or assists with special projects as assigned

Minimum Education and Experience

An Associates Degree in Business Administration or Human Resources is required.  A minimum of two years related experience is required.  Prior HR coordinator, generalist, or recruiting experience is required.   Must be proficient in MS Office software and have a proven track record of successfully meeting deadlines.  Self-starter with proactive time management approach and attention to detail required.  Must be organized, flexible and adaptable to changing requests and requirements, with excellent interpersonal skills and the ability to handle sensitive and confidential information.
