Position Summary

The primary responsibility of the Executive Assistant is to provide administrative support three executive level leaders within Heraeus Medevio’s Fridley and White Bear Lake, Minnesota sites. This includes the EVP of Commercial, the SVP of Global Quality Assurance and Regulatory Affairs, and the VP of Operations for the US. The Executive Assistant will work closely with the leaders, their teams, and other internal and external parties to ensure smooth operations and effective collaboration within the functions. The ideal candidate will have exceptional organizational and intrapersonal skills, the ability to manage multiple priorities in a fast-paced environment.  The Executive Assistant will serve as a trusted business partner to the supported teams.

This is an onsite position based in Fridley, MN with occasional travel to the White Bear Lake, MN site.

What You’ll Do Every Day:

  • Provide administrative support, including detailed calendar management, expense report management, complex domestic & international travel and event coordination
  • Manage, prioritize, draft incoming / outgoing correspondence
  • Identify, propose, and implement solutions to enhance daily and ongoing operations
  • Coordinate meetings, including attendee management, materials preparation, room set-up, catering, and issue resolution
  • Assist in creation and editing of documents and presentations for external audiences.
  • Will be required to provide occasional back-up support to other administrative staff for out of office coverage, large event planning, or related needs.
  • This position is based in Fridley, Minnesota, with occasional travel to the White Bear Lake site
  • Maintain and manage information of a confidential nature, upholding strict confidentiality standards.
  • Other duties may be assigned as required.

What We’re Looking For:

  • High school diploma or equivalent (e.g. GED) required.  
  • Minimum 3 years of administrative assistant experience, 5 years preferred, including experience supporting senior executives required. Experience within a global organization strongly preferred.
  • Advanced Microsoft Office skills.
  • Ability to effectively use and navigate multiple systems and technologies.
  • Strong critical thinking and problem-solving skills.
  • Strong interpersonal, collaborative, and communication skills.
  • Flexibility to provide support in multiple time zones, if required.
  • Strong attention to detail.
  • Demonstrated ability to take initiative and work proactively. 

Medevio is committed to providing competitive total compensation and benefits packages. The expected hiring range for this position is between $36.00/hour and $45.50/hour based upon a full-time schedule. This is a good faith estimate on the applicable range. Base salaries are determined by taking a variety of factors in account, including, but not limited to, candidate qualifications, geographic locations, market conditions and internal equity. This position is bonus eligible, with a target bonus of 10%. Our total compensation package includes eligibility for comprehensive medical, dental, and vision coverage, a 401(k) plan with company match, education reimbursement, paid parental leave and paid time off.
